User Roles - Set Up Your Team the Right Way

You can now assign roles add new users on your account, giving you full control over who can do what in the Omni portal.

There are three roles to choose from:

  • Location Admin - The super admin of the portal. Full visibility across the account, with the ability to manage users, permissions, budgets, and approvals.
  • Ordering Only - Has the same access as a Location Admin, minus the ability to add users or modify user permissions.
  • Order Requester (Approval Required) - Can place orders and view budgets and recurring orders, but can't create or edit them, and can't add users. Any order placed by an Order Requester is held until a Location Admin or Ordering Only user approves it.

This means you can build an ordering structure that matches how your business actually works - giving the right team members the ability to order, while keeping spend and sign-off in the hands of the people who should have it.

Budget Management & Order Approval

Stay on top of your spending with budget management and order approval working together as one connected feature. Set budgets for individual users or teams - daily, weekly, monthly, or over a custom date range - and control exactly when an order needs sign-off.

Key capabilities include:

  • Assign spending limits per user or team, for any time period
  • View available budget before placing or approving an order
  • Set an auto-approval threshold, so orders under the limit go straight through
  • Anything over the threshold is automatically routed to a Location Admin or Ordering Only user for approval

How it works in practice: say an Order Requester is given a budget of $200 with auto-approval set below that amount. If they place an order for $150, it's approved automatically and placed straight away. If they place an order for $250, it's placed on hold until a Location Admin or Ordering Only user reviews and approves it - keeping every over-budget order visible and in control, without slowing down the everyday ones.

Recurring Orders

Got products you order every week or every month? You shouldn't have to remember to reorder them manually. With recurring orders, you can automate the process entirely.

Here's how it works:

  • Convert any existing order into a recurring order in a few clicks
  • Choose your frequency - weekly, fortnightly, monthly, or a custom date
  • Orders are placed automatically on your chosen schedule at 12am on that day
  • Modify and update your recurring order anytime you need within your Omni online portal

And you're always in control. If you need more stock one month, less the next, or want to pause or remove items entirely, you can make those changes any time from the Omni portal.

Barcode Reader

Reordering a product you've bought before? Skip the search. The new barcode reader lets you scan any Omni product barcode with your phone camera and pull it straight into your cart on the website.

This means:

  1. No more searching through catalogues to find the right item
  2. No risk of ordering the wrong product or variant
  3. A faster checkout - scan, add to cart, done
